A deposit invoice is the first invoice on a project, raised after you accept a quotation. It bills the deposit percentage stated on that quotation.
Why a deposit
It confirms the booking and secures your slot in the production schedule. Slots are allocated in the order deposits clear, and holding one open on a verbal go ahead blocks another client. It also covers the planning and setup work that happens before you see anything visual.
When it is issued
Normally within one working day of you accepting the quotation. It appears in your portal at crm.zylax.com.my and arrives by email with payment instructions.
When work starts
After the deposit clears, not when the transfer is made. Bank transfers are not visible to us instantly, so send the transfer receipt to speed up matching. Once the payment is recorded, we confirm a kickoff date.
What it is applied to
The deposit is part of the project total, not an addition to it. Your later invoices show it deducted, so the sum of all invoices equals the quotation total.
If you are also paying for third party items
Domain registration, hosting and licences are sometimes invoiced alongside the deposit so they can be purchased and set up early. These are shown as separate line items.
Cancelling after paying a deposit
If you cancel before kickoff, tell us immediately and we will discuss the position. Once work has started, effort already spent is chargeable. Deposits are not automatically refundable, which is why the scope is worth checking carefully before you accept.
If the deposit percentage does not suit you
Raise it before accepting the quotation. There is far more flexibility to discuss a payment schedule at that stage than after acceptance.
Receipt
Once recorded, a receipt is available against the invoice in your portal for your accounting records.
