How to send proof of payment

Sending your payment receipt is what lets us match a transfer to the right invoice quickly. Without it, matching is manual and slower, particularly when several invoices are open.

What to send

  • The transaction receipt or slip from your banking app or internet banking.
  • It must show the amount, the date and time, the recipient, and the transaction or reference number.
  • A screenshot is fine. A PDF is fine. A photograph of a screen is acceptable if it is legible.

What not to send

A message saying "payment done" with no document. A partial screenshot that cuts off the amount or reference. A screenshot of a scheduled or pending transfer, which is not the same as a completed one.

Where to send it

  • Upload it against the invoice in the portal at crm.zylax.com.my. This attaches it to the right record automatically.
  • Or reply to the invoice email with the receipt attached.
  • Or email [email protected] quoting the invoice number in the subject line.

Always quote the invoice number

If you paid several invoices in one transfer, list which invoices and which amounts the payment covers. A lump sum with no breakdown has to be allocated by guesswork, and it usually gets allocated in a way that does not match your intention.

What happens next

We verify the payment against our bank records, record it against the invoice, and the status updates in your portal. A receipt then becomes available for your records. Verification depends on the funds actually appearing in the account, so a receipt on its own does not mark the invoice paid.

If the amount differs

Tell us why. A bank charge deduction, a partial payment or a payment covering multiple invoices all need noting, otherwise it looks like a shortfall and generates a reminder.
