How to request changes to a quotation

Quotations are revised regularly and asking for changes is normal. Ask before accepting, since acceptance fixes scope and price.

How to ask

Reply to the quotation email or write to [email protected], quoting the reference number and listing what you want changed. Be specific about the outcome you need, not only the line item, because there is often a cheaper route to the same result.

Common requests

  • Reduce the scope to fit a budget. Tell us the budget figure. We will propose what to keep for phase one and what to defer, based on what actually drives your enquiries or sales.
  • Add something that was missed. If a call covered a requirement that did not make it into the document, say so.
  • Change the add-on selection. Straightforward at this stage.
  • Adjust the payment schedule. More flexibility exists before acceptance than after.
  • Compress the timeline. Sometimes possible by reducing phase one scope or scheduling differently. Say whether your deadline is genuinely fixed.

What we send back

A revised quotation with a new reference number. We do not silently edit the old one, so you can compare versions. Check the reference number and date to be sure which is current, and accept only the newest.

Turnaround

Simple adjustments are usually returned within a working day. Changes requiring third party pricing, such as a new integration or licence, take longer because we wait on the provider.

Expiry while revising

If the original is close to expiring, say so and we will extend it while the revision is prepared.

After acceptance

Changes then go through the variation process, with a written estimate of the extra cost and schedule effect, approved by you in writing before work starts.
