A statement lists your invoices, payments and outstanding balance over a period. It is the document to use for reconciliation rather than working through invoices one by one.
What it shows
- Every invoice issued in the period, with its number, date and amount in MYR.
- Every payment received, with its date and the invoice it was applied to.
- Credits or adjustments applied.
- The closing balance outstanding.
Getting one
Much of this is visible in your portal at crm.zylax.com.my. The Invoices section lists everything with status and amounts, and can be filtered by status to show only what is unpaid. For a formal statement covering a specific period, request one by replying to your email thread or writing to [email protected]. Say which dates you need it to cover.
When you will want one
- Year end reconciliation with your accountant.
- An audit requiring supplier confirmation.
- Checking your records against ours after several payments.
- Handing over the account to new finance staff.
If our records differ from yours
Send us your figures and we will reconcile line by line. Differences almost always come from one of three causes: a payment made without an invoice number reference, a lump sum covering several invoices without a breakdown, or a bank charge deducted in transit leaving a small shortfall. All three are straightforward to resolve once identified.
Making future reconciliation easier
- Always use the invoice number as your payment reference.
- Pay one invoice per transfer where you can.
- Where you pay several together, send a breakdown of which invoices and amounts.
- Send the transfer receipt each time.
Access for finance staff
Your finance team can have their own portal login scoped to invoices only, so they can check the position without waiting for someone else.
