How to decline a quotation

If a quotation is not right for you, decline it. It takes a moment and it is more useful to us than silence.

How

Sign in at crm.zylax.com.my, open the quotation, and use the decline option. You can also reply to the quotation email saying you will not be proceeding, quoting the reference number.

Why tell us

An open quotation sits in the schedule as potential work and generates reminder emails as expiry approaches. Declining clears both. It also tells us where our proposal missed, which is genuinely useful.

Before you decline, consider

  • Budget. Say what your budget actually is. There is often a smaller scope that meets the important requirements now, with the rest as a later phase.
  • Timeline. If the estimate does not fit a fixed deadline, tell us. A reduced phase one can sometimes hit a date the full scope cannot.
  • Scope. If something you need is missing or something you do not need is inflating the price, both are quick to adjust.
  • Payment schedule. If the cash flow is the obstacle rather than the total, say so.

A revised quotation is usually faster than starting again elsewhere, and there is no obligation attached to asking.

Declining without a reason

That is fine. You do not owe us an explanation, and we do not chase declined quotations.

Going with someone else

Also fine, and worth telling us plainly rather than leaving it open. If it did not work out, get in touch later. We regularly pick up projects that stalled with another vendor.

After declining

The quotation stays visible in your portal marked declined, and can be revived if circumstances change. There is no charge for a quotation and no obligation from receiving one.
