How to manage contacts on your account

Contacts are the individual people at your company who can sign in to the portal at crm.zylax.com.my. Each contact has their own login, their own password and their own permissions.

Why not share one login

A shared login means no record of who approved a quotation or who raised a ticket, and it means changing the password every time someone leaves. Separate contacts remove both problems.

Adding a contact

Your primary contact can add people from the Contacts section, where that permission is enabled. Otherwise send us the person's full name, email address, job title and what they need access to. They receive an invitation to set their own password.

Permissions

Access can be scoped so each person sees only what they need:

  • Invoices. For finance staff who handle payment but do not need project detail.
  • Estimates and quotations. For whoever reviews and approves commercial documents.
  • Projects. For the people involved in the day to day work.
  • Support. For anyone who needs to raise or follow tickets.

The primary contact

One contact is marked primary. This is our default recipient for project correspondence and the person we treat as your decision maker unless you tell us otherwise. Tell us in writing if that role moves to someone else.

When someone leaves

Deactivate their contact immediately. A deactivated contact keeps their history on the record, which matters for tracking who approved what, but can no longer sign in. Do not simply reuse their email for someone new, because the audit trail then attributes the old activity to the wrong person.

Keeping the list tidy

Review your contacts occasionally. Old staff with live logins is a security gap, and people who no longer need notifications will start ignoring them.

To add, change or deactivate a contact, reply to your email thread or write to [email protected] from an address already on the account.
