What happens at project kickoff

Kickoff is the meeting that turns an accepted quotation into a scheduled build. It usually runs 45 to 60 minutes and takes place over a video call or at your office if you are in the Klang Valley.

Who should attend

Your decision maker, plus whoever will actually supply content. If marketing writes the copy and the director approves it, we want both on the call. Bringing the content owner in later means repeating the whole conversation.

What we cover

  • Scope confirmation. We read back the inclusions from your quotation line by line so there is no ambiguity about what is in and what is out.
  • Sitemap or module list. For a website, the exact page list. For a system, the modules and user roles.
  • Content responsibilities. Who sends what, and by when. We write these dates down.
  • Design direction. Examples of sites you like and dislike, and what specifically you like about them.
  • Technical items. Domain, hosting, email, any integrations, and who holds the credentials.
  • Milestones. The dates for design review, staging handover, testing and go live.

What you receive afterwards

Within one working day we send a written kickoff summary covering the agreed scope, the content checklist with dates, the milestone schedule, and the named contacts on both sides. Read it carefully. If anything in that summary does not match your understanding, say so immediately, because the build is planned from that document.

Preparing for the call

Have three to five reference websites ready. Have a rough page list even if it is incomplete. Know your launch deadline and whether it is genuinely fixed, such as an event date, or aspirational. We plan differently for the two.

After kickoff

Your project appears in the portal at crm.zylax.com.my with its milestones visible. From that point, progress updates come through the project thread rather than scattered emails.

If you need to reschedule kickoff or add someone to the call, reply to your email thread or contact [email protected].
